Set payment terms and review late fees

Choose due dates and a late-fee policy, then add eligible fees only after review.

Payment terms determine when an invoice is due. A late-fee policy describes a possible charge after that date, but BillPad does not add the fee just because the invoice becomes overdue. You review and choose whether to add an eligible fee.

Choose payment terms

  1. Open the invoice's Details section.
  2. Select Payment terms: Due on receipt, Net 7, Net 14, Net 30, Net 60, End of next month, Custom days or Custom date.
  3. Enter the extra days or date when prompted.
  4. Check Due date against the agreement with your client.

To set terms for future documents, use Settings, Invoice defaults, Payment terms, then Save settings. Profile defaults do not replace the need to review individual invoices.

Set a late-fee policy

  1. Open Settings and find Late fees.
  2. Select Enable late fees for new invoices.
  3. Choose Fee type: Percentage of overdue balance or Flat amount in invoice currency.
  4. Set Fee value, Grace days, Repeat and Maximum charges.
  5. Optionally select Print late fee policy on invoices, then choose Save settings.

On an eligible overdue invoice, review the offered amount and choose Add late fee only if you want to add it. Select Do not charge late fees on this invoice to opt that invoice out.

Good to know

Percentage fees exclude earlier late fees. Monthly charges become available on calendar anniversaries after the grace period; missed months are not added in bulk. Imported invoices do not automatically acquire late fees.

A configured fee is not proof that a charge is appropriate under your agreement. Check the client arrangement before adding it and inspect the resulting document. Recording a partial payment can change the remaining overdue balance, so review current payments before accepting a fee offer.

After a material change, review any hosted snapshot and resend or share the updated document if the client needs the revised amount.
