BillPad

Record full or partial payments and receipts

Record money received against an invoice and share a receipt without charging the client again.

Record a payment when money has actually arrived. BillPad updates the amount paid and remaining balance from those records. A partial payment leaves the invoice open for the remainder; marking an invoice sent does not record any money.

Add a payment

  1. Open the invoice and find Payments.
  2. Choose Record payment, or use More then Record partial payment.
  3. Enter the amount, Date, Method and an optional Note.
  4. Choose Save payment.
  5. Check Paid and Balance due against your bank or payment record.

Use More then Record full payment when the remaining invoice balance has been received. For a transfer covering several invoices, record it from the client's account and allocate it there, rather than recording the same transfer repeatedly.

Create a receipt

Recorded cash payment rows offer Receipt. Choose it to generate a receipt PDF. On supported devices it opens file sharing; otherwise the file downloads. Keep the receipt with the underlying payment record if you need to explain what a client paid.

Internal client-credit allocations do not create a new cash receipt. They move money already recorded against the appropriate invoice. This distinction matters when comparing receipt totals with your bank statement.

Correct a mistake

Each payment row has an options menu with Delete payment. Use it only to remove an incorrectly entered record, then review the resulting invoice balance. Deleting a payment record does not return money to the client. A real refund needs its own refund record against an issued credit note.

Good to know

The payment methods Bank transfer, Card, Cash and Other are descriptive labels. Manual recording does not process a card or access your bank. If a supported Stripe test payment is already recorded automatically, do not add a second manual payment for the same transaction.
