Request a deposit or set payment instalments

Add a deposit request and an equal instalment schedule to an invoice.

A deposit request or payment schedule tells the client when amounts are expected. It does not record money received or automatically collect a payment. Use the invoice's payment records separately as each amount arrives.

Request a deposit

  1. Open the invoice and find Deposit request.
  2. Set Deposit type to Percentage or Fixed amount. Choose No deposit to remove the request.
  3. Enter Deposit value and Deposit due date.
  4. Review the request in the preview and compare it with the overall invoice total.
  5. Correct any validation message before sending the document.

A fixed deposit uses the invoice currency. If you later change currency or invoice amounts, check the deposit again rather than assuming it was converted or recalculated to match a new agreement.

Split the invoice into instalments

  1. Find Payment schedule.
  2. Enter Instalments and choose Interval: Every week, Every fortnight or Every month.
  3. Choose First instalment due.
  4. Select Split into equal instalments.
  5. Review the generated dates and amounts. Adjust individual instalment fields if needed.
  6. Use Remove schedule if the agreement changes and you no longer need it.

The schedule amounts must add up to the full invoice total, not just the amount remaining after a deposit. The deposit request is shown separately; it is not automatically subtracted from the equal split. BillPad validates the amounts and dates, so review the schedule after changing line items.

Good to know

A scheduled amount is an expectation, not a payment record. When the deposit or instalment arrives, choose Record payment and record the actual date and amount. The balance due then reflects money received.

Automatic reminder settings use the invoice due date; do not assume that each instalment or deposit creates a separate automatic reminder email. If you need to explain the schedule to the client, include clear instructions in Note for your client and verify the downloaded PDF.

Keep the invoice's overall Payment terms and Due date consistent with the arrangement. A schedule should help the client understand the agreement, not introduce a second conflicting deadline.
