Import from FreshBooks

Export FreshBooks records and review the supported fields, dates and format limitations.

FreshBooks Invoice Details uses one row per invoice line, but BillPad's exact header profile remains provisional. Invoice-level payment amounts may repeat on each line; the importer takes that paid amount once per invoice rather than summing it repeatedly.

How to export from FreshBooks

  1. In FreshBooks, open the Invoice Details report or the invoice export available to your account.
  2. Export the invoice and line details as CSV, including dates, client identity and totals.
  3. Retain the original file and check that repeated invoice-level fields are consistent across its lines.

Import into BillPad

  1. Make a backup through Settings, Export backup if this workspace already contains records.
  2. Choose Start import under Switch to BillPad and select Invoices.
  3. Select FreshBooks as guidance, then use Choose file.
  4. Inspect Match columns. Required invoice fields are number, date, client and either total or line rate/amount.
  5. Confirm the date order if prompted, compare totals and paid amounts, then approve the reviewed import.

Check the source fields

Expected headers include Invoice #, Client Name, Organization, Date Issued, Due Date, Item Name, Item Description, Rate, Quantity, Line Total, Invoice Total, Paid, Outstanding and Currency.

Check that all lines for an invoice group together and that the paid amount appears only once in the resulting payment record. Product files can include Tax 1 and Tax 2; combined rates need review. The catalogue import ignores stock quantities, so importing an item list does not recreate FreshBooks inventory behaviour.

Good to know

The profile's fallback is MM/DD dates and USD currency. Ambiguous numeric dates still require your explicit confirmation. Prefer an explicit currency column over relying on that fallback, especially for international work.

CSV and the first XLSX worksheet are supported, within 5 MB and 5,000 rows. Imported invoices do not trigger reminders or late fees. Existing documents count towards the 100-document limit.

If your file does not import, email a redacted example to [email protected], or use the generic CSV option and match the columns manually. Do not send passwords, sign-in links or unnecessary customer information. Keep the original export until you have compared several imported records with the source.
