Use duplication when a new job resembles an earlier one. Use archiving when you want a record out of your active list while keeping it in the workspace. These actions serve different purposes and should not be used to hide a payment or correct an issued amount.
Duplicate for new work
- Open the invoice you want to reuse.
- Choose More, then Duplicate.
- Check the new number, issue date and due date.
- Update the client, descriptions, quantities, rates and payment instructions for the new job.
- Inspect the preview before sending the new document.
The copy starts as a draft with a new number and no recorded payments. BillPad removes earlier delivery history, the hosted share token and recurring-generation references. Late-fee lines are removed as well. This avoids treating an old payment or delivery event as though it belonged to the new invoice.
Archive a document
- Open the document and choose More.
- Choose Archive.
- Return to Invoices and use Archived to find archived records.
- Open an archived document and use Unarchive when you want it back in the active list.
There is no general permanent delete-invoice action in this menu. Archive is the supported way to move an invoice out of the active list. It retains the document, so it also continues to occupy space within the shared 100-document beta limit.
Good to know
Dashboard totals exclude archived invoices, but financial reports include issued archived records. Archiving is not a way to cancel an invoice, refund a client or reverse tax. Use an appropriate credit note to correct an issued amount and record a refund separately when money is returned.
For repeated scheduled work, consider Make recurring instead of manually duplicating every period. Review the recurring guide first: generation creates drafts for review and does not mean that a client has automatically been emailed.
