Import from Zoho Invoice

Export Zoho Invoice records and review the supported fields, dates and format limitations.

Zoho Invoice supports invoice exports with one row per line. The export procedure is confirmed in the format research, but BillPad's exact expected header names remain provisional and need checking against your file.

How to export from Zoho Invoice

  1. In Zoho Invoice, open the invoice export and choose CSV or XLSX.
  2. Include invoice and customer identity, issue and due dates, currency, line details, taxes and balances.
  3. If you have an older XLS export, convert it to CSV or XLSX first; BillPad does not accept XLS directly.

Import into BillPad

  1. Make a backup through Settings, Export backup if this workspace already contains records.
  2. Choose Start import under Switch to BillPad and select Invoices.
  3. Select Zoho as guidance, then use Choose file.
  4. Inspect Match columns. Required invoice fields are number, date, client and either total or line rate/amount.
  5. Confirm the date order if prompted, compare totals and paid amounts, then approve the reviewed import.

Check the source fields

Expected headings include Invoice Date, Invoice Number, Invoice Status, Customer Name, Due Date, Currency Code, Item Name, Item Desc, Quantity, Item Price, Item Tax %, Item Tax Amount, Item Total, Total and Balance.

Check that repeated invoice totals are not accidentally mapped as separate line amounts. Zoho item exports belong in Products; a tax percentage takes priority over the tax name, and inactive item rows are skipped. Client contact files belong in Clients, with no opening-balance import.

Good to know

The profile's fallback is DD/MM dates and AUD currency. Ambiguous numeric dates still require your explicit confirmation. Prefer an explicit currency column over relying on that fallback, especially for international work.

CSV and the first XLSX worksheet are supported, within 5 MB and 5,000 rows. Imported invoices do not trigger reminders or late fees. Existing documents count towards the 100-document limit.

If your file does not import, email a redacted example to [email protected], or use the generic CSV option and match the columns manually. Do not send passwords, sign-in links or unnecessary customer information. Keep the original export until you have compared several imported records with the source.
