Xero import-template field names are confirmed, but several export-only payment and status columns remain unverified. An export can therefore match the known line format while still needing careful review of paid amounts and statuses.
How to export from Xero
- In Xero, open the report or export for invoices and export as CSV.
- Prefer an export with one row per line item and the invoice and contact fields included.
- Keep payment information separately if the export does not provide it. The invoice export does not supply a paid-date column.
Import into BillPad
- Make a backup through Settings, Export backup if this workspace already contains records.
- Choose Start import under Switch to BillPad and select Invoices.
- Select Xero as guidance, then use Choose file.
- Inspect Match columns. Required invoice fields are number, date, client and either total or line rate/amount.
- Confirm the date order if prompted, compare totals and paid amounts, then approve the reviewed import.
Check the source fields
Confirmed fields include ContactName, InvoiceNumber, InvoiceDate, DueDate, Description, Quantity, UnitAmount, TaxType and Currency. Export-only fields such as InvoiceAmountPaid, InvoiceAmountDue, Type, Sent and Status remain assumed.
GST on Income maps to 10%; BAS Excluded and GST Free map to zero. Inclusive or exclusive amounts can be identified through LineAmountType when present. Credit-note rows identified as ACCRECCREDIT are skipped. Missing payment dates use the shared fallback, so review cash-period reports after importing.
Good to know
The profile's fallback is DD/MM dates and AUD currency. Ambiguous numeric dates still require your explicit confirmation. Prefer an explicit currency column over relying on that fallback, especially for international work.
CSV and the first XLSX worksheet are supported, within 5 MB and 5,000 rows. Imported invoices do not trigger reminders or late fees. Existing documents count towards the 100-document limit.
If your file does not import, email a redacted example to [email protected], or use the generic CSV option and match the columns manually. Do not send passwords, sign-in links or unnecessary customer information. Keep the original export until you have compared several imported records with the source.
